Adminsitrative Project Manager

Public Health Advocates (PHAdvocates) brings a health and equity lens to some of the most important issues of our day. We have two decades of successful state and local campaign experience focusing on prevention and challenging the social, political, and economic systems that perpetuate racial, economic and health disparities. Over the past 20 years, PHAdvocates has helped 200 California cities enact more than 600 local policies. At the state level, we led the campaigns to get soda and junk food out of public schools, fund elementary school physical education, require that restaurants put calorie information on their menus, and fund statewide diabetes prevention.

PHAdvocates seeks a dynamic administrative professional to support the current REACH projects to forge a path forward for Public Health Advocates in the City of Stockton. The Administrative Project Manager reports to the Director of Local Policy and will lead all administrative tasks.

Responsibilities

  • REACH Compliance: Collect weekly reports and activity trackers from program staff, update the grant database within the timeframe specified in the scope of work, prepare and submit timely reports, track progress of the REACH evaluation plan to ensure compliance with grant deliverable timelines.
  • Coalition Building: support the program managers in maintaining the REACH steering committee.
  • Evaluation: Support the evaluation of the REACH grant measures and outcomes by collecting relevant data and track progress by maintaining an updated database of the work.
  • Administration: Provide administrative duties and ensure the smooth operation of all Stockton office functions and systems
  • Site Supervision: Aide in site management if applicable
  • Calendar and Meetings: Keep Outlook and Google calendar up-to-date with work schedules and program activities
  • Reporting and Documentation: Support project reporting; track all outreach activities; maintain database of completed grant measures and outcomes to support the grant evaluation and reporting processes, and upload reporting deliverables on funder platform.
  • Events: Assist program staff in planning and attending community and agency sponsored events
  • Moving and Lifting: Moving small office equipment such as boxes, projector screens, canopies, portable tables, etc. 
  • Program Support: Other program duties as assigned.

Qualifications

  • HS Diploma or equivalent
  • 5+ years of administrative experience
  • Prior non-profit experience a plus
  • Must have reliable transportation.
  • Strong organizational & interpersonal skills
  • Strong verbal and written communication skills
  • Working knowledge of Microsoft Office Suite, online databases & uploading web content

Position details:

  • This is a full-time exempt position.
  • 57 to 67K, compensation commensurate with experience
  • Occasional evening and weekend hours
  • Position available immediately
